How CoDigital, Inc. handles personal information submitted through or collected by data-annotation.codigital.co.jp.

This policy covers this website only. Personal information contained in data that a client sends us for an annotation project is handled under the data processing agreement for that engagement, not under this policy — see the section on client project data below.
1. Who we are
This website is operated by CoDigital, Inc. (株式会社CoDigital), a company registered in Japan with corporate number 7011001146840, at Kuwano Building 2F, 6-23-4 Jingu-mae, Shibuya, Tokyo 150-0001, Japan.

2. What we collect
We collect only what the site needs in order to function and to answer you.
- Contact form submissions: the company name, your name, work email address, project type, expertise required, estimated data volume and the message you write. All of these are supplied by you.
- Analytics data: Google Analytics 4 collects usage information such as pages viewed, approximate location derived from IP address, device and browser type, and referring source. This is collected through cookies and similar technologies.
- Server access logs: our hosting provider records standard web server logs, which include IP addresses, for security and operational purposes.
3. Why we use it
Contact form submissions are used solely to respond to your enquiry and to carry out any resulting business discussion. We do not add form submissions to a marketing list, and we do not send unsolicited email as a result of one.
Analytics data is used in aggregate to understand which pages are useful and where the site is unclear. We do not attempt to identify individual visitors from it.
4. Cookies and analytics
This site uses Google Analytics 4, provided by Google LLC, which sets cookies in your browser. You can prevent this by using your browser’s cookie controls, by browsing in a private window, or by installing Google’s opt-out browser add-on.
This site also loads web fonts from Google Fonts. Doing so transmits your IP address to Google in order to serve the font files. No cookie is set by that request.
We do not use advertising cookies, retargeting pixels, social media tracking widgets or third-party marketing tags on this website.
5. Who else sees it
We do not sell personal information, and we do not share it with third parties for their own purposes.
- Google LLC, as the provider of Google Analytics and Google Fonts, processes the data described above under its own terms.
- Our hosting and email providers process form submissions and server logs in the course of delivering those services to us.
- We disclose personal information where we are legally required to do so, and not otherwise.
6. How long we keep it
Contact form submissions are retained for as long as they are needed for the enquiry and any resulting business relationship, and are deleted on request.
Google Analytics data is retained according to the retention period configured in that service. Server access logs are retained for the period set by our hosting provider.
7. Client project data
Data that a client sends us for an annotation, evaluation or transcription project is not covered by this policy. It is handled under the non-disclosure agreement and, where personal information is involved, the data processing agreement for that engagement — which names the purpose, the scope, the retention period and the deletion method.
We do not retain client project data for internal reuse, for model training or as portfolio material. Sample material shown on this website is our own, created for illustration.
8. Your rights
Under Japan’s Act on the Protection of Personal Information, and under the GDPR where it applies to you, you may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it. You may also object to or restrict certain processing.
Send any such request to [email protected]. We will respond within a reasonable period, and we may need to verify your identity before acting on a request.
9. Security
This website is served over HTTPS, and form submissions are transmitted encrypted. Access to submitted enquiries is limited to the people who need it in order to respond.
No transmission over the internet can be guaranteed completely secure. We do not ask you to submit sensitive personal information or confidential business data through the contact form — send an enquiry first, and we will agree a secure channel and an NDA before anything sensitive moves.
10. Changes to this policy
We may update this policy as the site or our practices change. The date shown at the top of this page is the date of the current version. Material changes will be reflected here rather than announced individually.
